When a plan ends, and deleting an organization

An organization can stop in two ways. Its paid plan ends, or an admin deletes it. In both cases, nothing is removed at once, and both can be undone. This page explains who can still work, what is kept, and for how long.

When a paid plan ends​

Team and Enterprise plans are for several people. Free and Pro plans are for one person.

A Team or Enterprise plan can end because someone cancelled it, or because a payment failed. Then the organization moves to the Free plan, and only one person can keep working in it:

  • The keeper keeps working. The keeper is the organization's earliest admin.
  • Everyone else is locked. They are not removed. Their recordings, notes and teams stay where they were.

Before a cancellation or a downgrade takes effect, the Billing page warns the admin and names the keeper. When the plan ends, ScribX sends two kinds of email. The keeper gets a list of the people who were locked. Each locked person gets an email that explains why.

What the keeper can see​

The keeper keeps the access they already had. Nothing more:

  • The keeper can open notes in the teams they belong to, and notes that were shared with them.
  • The keeper cannot open the notes in a locked person's own space. Nobody else could open those before, and the plan ending does not change that.

Unlock everyone​

To unlock the others, an admin buys the Team plan again: open Settings → Organization → Billing. See Plans & billing. Locked people get access back in the order they were locked, up to the number of seats bought. On Enterprise, everyone gets access back.

What a locked person sees​

When a locked person signs in, they see a page. It says that the organization's paid plan has ended, and that nothing of theirs has been removed. On that page they can choose:

  • Wait. If the organization buys the plan again, their access comes back (if there is a free seat).
  • Continue in my own Free space. This starts a Free space of their own. It starts empty. What they made in the organization stays with the organization.
  • Sign out.

Deleting an organization​

An organization admin can delete the organization:

  1. Click your avatar, then click Organization.
  2. On the left, click Profile.
  3. Under Delete organization, click Delete this organization.
  4. Type the organization's name to confirm, then click Delete organization.

What happens next:

  • If a paid plan is running, it continues to the end of the period that is already paid. Then the organization is deleted.
  • After it is deleted, nobody can use it. Scheduled meetings, calendars, API keys and webhooks stop. Purchased credits are not refunded.
  • ScribX emails everyone in the organization three times: when the deletion is scheduled, three days before it happens, and when it is done. The last email gives the date until which it can be restored.
  • Anyone who signs in afterwards sees that the organization cannot be used any more, and that their recordings are kept for 30 days.

An admin can cancel a scheduled deletion until it takes effect. On the same Profile page, click Keep the organization.

Restoring a deleted organization​

For 30 days after the deletion, ScribX can restore the organization with everything in it. Ask your administrator to contact ScribX support within those 30 days. After 30 days, recordings and voiceprints are removed for good. Invoices are kept, because the law requires it.
